Position Summary

The Office Assistant will support the ministry goals of Zion Hill Baptist Church through efficient assistance with church office operations and outstanding administrative support. The office assistant is responsible for assisting in answering telephones, creating copies, coordinating meetings, entering data, and handling other clerical tasks.

Essential Job Functions & Requirements

Specific job functions for the Office Assistant include: 

Clerical Support 

  • Provide general clerical support. 

  • Screen and direct communication, including phone calls and emails. 

  • Key data into spreadsheets and databases. 

  • Proofread documents. 

  • Sort and distribute mail and correspondence. 

  • Provide clerical support for church wide activities, events, workshops, and ministries, including School of Love, Learning and Service. 

  • Assist the Ministry Support Coordinator with organizing special ministry-related or church-wide events. 

  • Coordinate with the Facilities team, Media Ministry and/or Music Ministry for ministry needs. 

  • Maintain the church calendar of all meetings and events occurring on church campus (including, but not limited to, weddings, funerals, baptisms, and baby blessings), and church events occurring off campus. 

  • Coordinate virtual meetings, including opening the meetings and ensuring appropriate technology is available and ready for an on-time start. 

  • Assist the Finance team with mailings, reports, member, and/or visitor updates, as needed. 

  • Assist in the preparation of Semi-Annual and Annual Church Conference meetings.

Minimum Qualifications 

  • Strong commitment to Ministry and service 

  • College graduate or equivalent work-related experience 

  • Minimum typing level of 65 WPM with accuracy, including transcribing experience. 

  • Strong computer skills (MSO365 and MS Apps, Internet) 

  • Proficiency in the use of standard office tools (printers, copy machine, etc.) 


Specific Physical Requirements 

  • Requires sitting and standing for prolonged periods of time. 

  • Requires lifting waist high, shoulder high, and above the head, pushing, pulling, holding up to fifteen pounds and carrying alone or with assistance. 

  • Requires operating a telephone, computer/electronic equipment, and manipulating small objects. 

  • Requires working under pressure and rapidly for prolonged periods of time. 

  • Requires working indoors at a desk in an office or control room for extended periods of time. 

Hours of Work

Up to 20 hours per week
Monday through Thursday: 5:00 PM – 8:00 PM; Saturday 9:00 AM – 1:00 PM
Available and on-call, as needed in special situations.
